Setting a Cover Page
With faxing on Avaya Cloud Office, we have created a number of different cover sheets for faxing depending on your department in order to more easily direct responses to the correct department. All of these cover sheets can be found in a folder accessible to everyone. Follow the instructions below in order to pick the one relevant to your faxes and ensure it is the most up to date version at all times.
To start with, open the softphone app installed on your computer. In order to use the custom cover sheet for the Funds or Hollow Metal, faxes must be sent from the installed version of the application on your computer. Sending a fax from the website or via email will not allow you to use a custom cover sheet.
Click the + icon in the top right and select Send new fax.
The "New fax" window will pop up. Select the drop down under Cover page.
A window showing all of the currently available templates will pop up. Select Add cover page.
Click the box that says Drag and drop or attach a .docx file and browse to the location of the cover pages. The folder is called Fax Cover Sheets and is located on the S drive (Document Storage).
Select the appropriate cover sheet and click Open. That will bring you back to the previous window, where you'll be asked to name the cover sheet. IT recommends that you name the cover sheet the same as the file name, so you'll be able to easily distinguish if you're using the most up-to-date version. Once a name has been entered, click Save.
The cover sheet will be saved for all future uses. You will only need to upload a new cover sheet if you are faxing on behalf of multiple users or departments, or when the cover sheets are updated by IT (generally only when a trustee leaves or joins). You can hover over the name to see the full text if it's too long to display on its own.
